Docena Jularbal Law (“DJ-D Law,” “we,” “us,” or “our”) operates the Folio client portal at folio.dj-dlaw.com (the “Portal”). This Privacy Policy explains how we collect, use, store, share, and protect personal information when you use the Portal, in accordance with the Data Privacy Act of 2012 (Republic Act No. 10173), its Implementing Rules and Regulations, and issuances of the National Privacy Commission (“NPC”).
By accessing or using the Portal, you acknowledge that you have read and understood this Policy.
1. Who we are
DJ-D Law is a law firm with its principal office at Unit 1822 Parkway Corporate Center, Filinvest City, Alabang, Muntinlupa City, Philippines. For privacy matters you may contact our Data Protection Officer at admin@docenajularbal.com.
2. Personal information we collect
We collect only the information needed to provide the Portal and our legal services:
- Account and identity data. When you sign in, we collect your name and email address. The Portal uses passwordless sign-in (a one-time email “magic link”) and Google sign-in. When you use Google sign-in, Google provides us your name, email address, and profile picture — we do not receive or store your Google password.
- Content you submit. Information you enter into Portal features such as document questionnaires (Forma), compliance self-assessments (Verifica), legal questions (Consulta), and any documents, messages, or matter details you provide.
- Usage and technical data. Log data such as access times, pages viewed, device and browser type, and IP address, used for security and to operate the Portal.
We do not intentionally collect sensitive personal information (as defined under RA 10173) unless you choose to provide it in connection with a legal matter, in which case we process it for that purpose.
3. How we use your information
We process your personal information to:
- create and secure your Portal account and authenticate your sign-in;
- provide Portal features and deliver legal services under your engagement;
- generate documents, compliance checks, and AI-assisted summaries you request (see Section 7 on AI-generated content);
- communicate with you about your account and matters;
- maintain the security, integrity, and proper functioning of the Portal; and
- comply with legal and regulatory obligations.
Our lawful bases for processing include your consent, the performance of our engagement or contract with you, compliance with legal obligations, and our legitimate interests in operating and securing the Portal.
4. How your information is stored and where
The Portal’s data is hosted on Supabase, a third-party cloud infrastructure provider, on servers located in Singapore (Asia-Pacific region). This means your personal information may be transferred to and stored outside the Philippines. Where personal information is transferred across borders, we take steps consistent with RA 10173 to ensure it remains protected, including using providers that maintain appropriate security standards. Access within the Portal is restricted by role and protected by row-level security so that users can only see data they are authorized to access.
5. When we share information
We do not sell your personal information. We share it only:
- with service providers who help us operate the Portal (such as our cloud hosting and authentication providers), bound by confidentiality and data-protection obligations;
- with members of the firm working on your matter, subject to professional confidentiality; and
- when required by law, court order, or lawful request by a public authority, or to protect our rights and the safety of others.
6. Data retention
We retain personal information for as long as your account is active and for as long as necessary to provide our services, comply with our legal and professional record-keeping obligations, resolve disputes, and enforce our agreements. When no longer needed, information is securely deleted or anonymized.
7. AI-generated content
Certain Portal features use artificial intelligence to help generate documents, summaries, and responses. AI-generated content is clearly labeled and is provided for convenience and general information. It is not a substitute for legal advice from a lawyer and may contain errors or omissions. Information you submit to these features is processed to produce your requested output and is handled under this Policy.
8. Your rights under the Data Privacy Act
Subject to the conditions and exceptions in RA 10173, you have the right to be informed, to access, to object, to rectify, to erasure or blocking, to data portability, to damages, and to lodge a complaint with the NPC. To exercise any of these rights, contact our Data Protection Officer using the details in Section 1. We may need to verify your identity before acting on a request.
9. Security
We implement reasonable and appropriate organizational, physical, and technical security measures to protect your personal information, including restricted access, role-based permissions, encryption in transit, and passwordless authentication. No method of transmission or storage is completely secure, but we work to protect your information and to address incidents promptly.
10. Children
The Portal is intended for our clients and authorized firm users and is not directed to children. We do not knowingly collect personal information from minors without appropriate consent.
11. Changes to this Policy
We may update this Policy from time to time. We will post the updated version on this page and revise the “Last updated” date. Material changes will be communicated through the Portal or by email where appropriate.
